Administrative Employee

As our Administrative Employee, you will be responsible for the financial administration and ensure that it is accurate and up-to-date. Among other things, you will be focusing on processing purchase invoices, setting up the sales invoices, and contacting customers and suppliers regarding payments. This, under the direction and guidance of the Finance Manager. Working in a dynamic and collaborative environment, you will play a key role in ensuring that our financial administration is accurate, complete, and up to date. You will be in regular contact with internal stakeholders, customers, and suppliers, and contribute to a structured and efficient way of working within the organization.

As our Administrative Employee, you will be responsible for the financial administration and ensure that it is accurate and up-to-date. Among other things, you will be focusing on processing purchase invoices, setting up the sales invoices, and contacting customers and suppliers regarding payments. This, under the direction and guidance of the Finance Manager. Time Commitment: 0,8 – 1 fte

Your Activities:

You will be fully involved in daily Administrative operations and will get the chance to learn the profession from A to Z.

  • Financial Administration:
    • Independently manage and process the day-to-day financial administration in an accurate and timely manner.
    • Process and verify purchase invoices, ensuring correct allocation and documentation.
    • Review sales input and orders, and prepare accurate sales invoices.
    • Monitor and process daily bank transactions and statements.
    • Handle expense claims and credit card statements in line with internal policies.
    • Prepare and support weekly payment runs.
    • Manage accounts receivable and accounts payable, including follow-up on outstanding balances.
    • Maintain and prepare balance specifications and support financial overviews and reporting.
  • Coordination & Communication:
    • Act as a point of contact for customers and suppliers regarding invoices and payments.
    • Coordinate effectively with internal stakeholders to ensure smooth administrative processes.
  • Office & Facility Support:
    • Support general office management activities, including purchasing office and facility supplies.
    • Assist in coordinating facility-related matters, such as building maintenance and office environment.
    • Contribute to a well-organized, safe, and efficient workplace.

Your Profile:

  • You have a completed education in a financial or administrative field (MBO+ or equivalent)
  • You bring relevant experience in an administrative role
  • You have a strong sense of accuracy and work in a structured and organized manner.
  • You are reliable, proactive, and able to work independently.
  • You are comfortable working with numbers and administrative systems.
  • You communicate clearly and professionally with both internal and external stakeholders.
  • You have a good command of both Dutch and English, written and spoken.
  • Experience with Exact Online is considered a plus.
